Kiosk Overview

The Kiosk allows clients to open and complete their pending intake forms using a short access code. Practices typically place a tablet, computer, or printed QR code in the lobby for quick check-in.


Kiosk Overview

The Kiosk is a dedicated page in your QuickerNotes account where clients enter a kiosk code to access any pending intake forms. You can:

  • Open the Kiosk page on an office computer or iPad

  • Print and display a QR code so clients can open the Kiosk on their own phone

  • Use automatic or manually generated codes

Permissions

To use or manage intake forms and kiosk codes, staff need the appropriate Intake Form permissions under:
​Settings → Roles & Permissions → Forms


Kiosk on an Office Device

Your Kiosk is a dedicated URL that can be left open on a tablet, iPad, laptop, or front-desk computer for clients to use when they arrive.

To use the Kiosk:

  1. Open your practice’s Kiosk page on the device.

  2. Leave the page open for clients to use throughout the day.

  3. Provide the client with their kiosk code at check-in.

  4. The client enters the code to access and complete their pending intake forms.

The Kiosk page can remain open between clients, making it easy to use a dedicated device for intake forms at the front desk.

Kiosk QR Code

You can print the QR code that links directly to your Kiosk portal.

  1. Go to Settings → Intake Form Templates.

  2. Locate the Kiosk QR Code section.

  3. Click Print to generate a printable version.

  4. Display the QR code in your reception area.

When clients scan the QR code with their phone, they are taken directly to your Kiosk, where they can enter their kiosk code.

Automatic Kiosk Codes

QuickerNotes automatically generates a kiosk code for any intake form created automatically for an appointment.

Automatic codes are generated 20 minutes before the appointment start time so staff can provide the code as the client arrives.

When an automatic kiosk code is generated:

  • It is added as a note on the appointment inside Mindbody

  • It is displayed on the appointment inside QuickerNotes

  • Clients can enter the code on your Kiosk page to open all pending forms

Automatic codes make front-desk check-in fast and consistent for every visit.

Manually Generate a Kiosk Code

You can manually generate kiosk codes for any pending form.

  1. Open the client's profile.

  2. Go to the Forms tab.

  3. Click New Kiosk Code next to any pending intake form.

Important Behavior

  • A kiosk code pulls up all pending forms for that client — even forms that don’t have a kiosk code yet

  • Manually generated kiosk codes expire after 5 hours for security

This makes it easy to generate a single code and let the client complete everything at once.

Generate a Kiosk Code from Mindbody (No QN Login Required)

Front desk staff can also generate a kiosk code directly from the Mindbody appointment note, without logging into QuickerNotes.

How to Enable (One-Time Setup)

  1. Go to Settings → Property.

  2. Enable Appointment Note Short Code Automations.

  3. Click Save.

How to Use

  1. Open the client’s appointment in Mindbody.

  2. In the Appointment Note, type:

    QN:GKK

  3. Save the appointment note.

What Happens

  • A kiosk code is generated for the client’s pending intake forms.

  • The system indicates whether the form has already been completed.

  • The kiosk code and form status are inserted directly into the Mindbody appointment note.

Why This Matters

This allows front desk staff to:

  • Verify form completion status

  • Generate kiosk access codes

  • Operate entirely within Mindbody

No separate QuickerNotes login is required for check-in.

How Clients Use the Kiosk

Clients can access the Kiosk in three ways:

  1. Enter a kiosk code manually on your device

  2. Scan the QR code and enter their code on their phone

  3. Use a device in your office that’s already opened to the Kiosk page

Once the client enters a valid code:

  • All pending forms appear automatically

  • The client completes the forms

  • Submissions appear immediately in the client’s profile

  • Providers receive review requests according to your settings


Returning to a form with saved answers

Clients can leave an intake form unfinished and come back later, including on a shared lobby kiosk.

On the form, clients use Save Progress. QuickerNotes confirms with a Saved. toast. Choosing Logout ends the client session (the kiosk shows its session-ended message).

To resume later on the kiosk, staff must give the client a new one-time kiosk code (the previous code was already used). The client then:

  1. Enters the new kiosk code.

  2. Confirms their last name. If the client's profile has no last name, the client selects Email me a code instead and enters the 6-digit code from their email. These clients always need the email code, also when the form has no saved answers.

  3. If any pending forms already have saved question answers, QuickerNotes emails a 6-digit verification code to the email on the client’s profile (shown masked on screen). The client must enter that code before saved answers appear.

  4. If the form is still blank (no saved answers yet), last name alone is enough — no email code. This does not apply to clients with no last name (see step 2).

This keeps saved health information private on shared devices: a kiosk code alone is not enough to reopen another client’s saved work.

Staff notes

  • The email verification code is separate from the kiosk access code. Staff cannot enter the email OTP for the client on the kiosk.

  • The email code expires after 10 minutes. There is no Resend button — the client starts again from the login step to get a new code. (Requests are also rate-limited.)

  • If the client has saved answers but no email on file, they cannot resume until staff updates the email on the client profile.

  • From the client profile, Open Client Forms lets staff open the forms without the last-name or email OTP steps (staff preview path).

  • The same last-name + email OTP path applies when a client returns through an emailed form link and saved answers already exist.


Expiration & Security

  • Regenerated kiosk codes expire after 60 minutes

  • Manually created kiosk codes expire after 5 hours

  • Expired codes cannot be reused

  • A new kiosk code can be generated instantly if needed

  • Codes provide access only to pending intake forms — not the client profile
