Clara AI is designed with healthcare privacy and security in mind and operates in alignment with HIPAA requirements when used appropriately.

QuickerNotes treats Clara AI as part of its clinical documentation platform.


HIPAA Compliance

Clara AI is intended to support HIPAA-compliant workflows.

  • Clara is covered under the QuickerNotes Business Associate Agreement (BAA)

  • Protected Health Information (PHI) is handled in accordance with HIPAA standards

  • Access to Clara AI features follows the same permission controls as QuickerNotes

Clinics must maintain an active BAA with QuickerNotes when using Clara AI.


Audio Recording & Data Handling

When a visit is recorded using Clara AI:

  • Audio is used to generate a draft clinical note

  • Providers review and edit the note before saving

  • Audio handling follows QuickerNotes’ security and retention policies

Specific details about audio retention and deletion depend on system configuration and may change as features evolve. Clinics with questions about audio handling should contact QuickerNotes support.


Access Controls

Access to AI-generated notes and recordings is restricted to authorized users based on clinic permissions.

  • Only authorized providers and staff can view patient charts

  • AI-generated notes are treated like any other clinical documentation within QuickerNotes


Provider Review & Control

Nothing generated by Clara AI is finalized automatically.

Providers must:

  • Review all AI-generated notes

  • Edit content as needed

  • Approve documentation before saving

This ensures providers remain fully responsible for the accuracy and completeness of patient records.


Clinic Responsibilities

Clinics are responsible for:

  • Ensuring appropriate patient consent is obtained

  • Maintaining HIPAA-compliant policies and procedures

  • Training staff on proper use of AI transcription tools

Clara AI is a support tool and should be used as part of an overall compliant clinical workflow.
