Automatic Reminder Emails for Incomplete Intake Forms

QuickerNotes automatically sends reminder emails when a client has incomplete intake forms shortly before an appointment.

No separate reminder schedule or setup is required.


When Are Reminder Emails Sent?

QuickerNotes checks once per hour for appointments that are 1–2 hours away, based on the property's timezone.

Because the check runs hourly, the reminder will not necessarily arrive exactly one hour before the appointment. It will typically arrive sometime within the 1–2 hour window.


Which Forms Receive Automatic Reminders?

A reminder can be sent when an intake form connected to the upcoming appointment:

  • Was previously emailed to the client

  • Has not been submitted

  • Has not expired

  • Has Email client when forms are created enabled

The client must also have an email address on their profile.

If a client has multiple qualifying forms, QuickerNotes sends one reminder email rather than a separate email for each form.


When Is a Reminder Not Sent?

An automatic reminder will not be sent if:

  • The client has already submitted all qualifying forms

  • The form has expired

  • The form was never previously emailed

  • Email client when forms are created is turned off for the form template

  • The client does not have an email address

  • The form is not connected to an appointment


Customize the Reminder Email

Automatic reminders use the same customizable client email as the original intake form email, including:

  • Subject

  • Message

  • Logo

  • Sender name

  • Reply-to address

  • Form link

To customize this email, go to:

Settings → Forms → Customize Client Email

Because the same email template is used for both the original email and the reminder, we recommend using wording that makes sense in either situation.


Can I Change the Automatic Reminder Time?

No. Automatic reminder timing is currently fixed at approximately 1–2 hours before the appointment.

There is also no separate setting for turning automatic reminders on or off.

Turning off Email client when forms are created for a form template prevents both:

  • The original intake form email

  • The automatic reminder email


Send a Reminder Manually

You can also send a reminder at any time:

  1. Open the Client Profile.

  2. Go to the Forms tab.

  3. Click Send Reminder Email.

The client will receive one email containing a link to their pending, currently available forms.

Sending a manual reminder does not prevent the automatic reminder from being sent later if the appointment enters the 1–2 hour reminder window.
