Create Intake Forms Again After a Set Number of Days

Learn how Create this form again after works: renewal interval, form history vs service history, and why it does not send on its own.

Create this form again after controls how many days must pass before Quicker Notes can create another form from the same template for the same client. It is a renewal interval. It does not make an existing form inaccessible, and it does not create or send a new form by itself.


How the Renewal Interval Works

  • The interval is measured from the most recent form’s sent date.

  • If the form was never emailed, Quicker Notes uses its creation date.

  • After the full interval passes, Quicker Notes can create a fresh form the next time the client books one of the selected first-booking services.

Important:

The interval does not create or email a form when time passes. A matching future booking is still required. Pending-form and appointment-duplicate checks still apply, along with your other send settings.


How this ties to the any-client first-time rule

This setting only applies with Create this form the first time a client books one of the selected services (any client).

That rule checks the client’s form history, not their service history:

  • Service on the appointment matches a selected service, and

  • The client does not already have an intake-form record for this template (including earlier versions).

Established clients can qualify even if they have had that service for years, as long as the form was never generated. Never generated is not the same as never signed — an unsigned or unsent existing form still counts, so changing the rule will not create a duplicate replacement.

The separate new client only rule uses the appointment’s first-appointment flag and does not use this renewal interval.


How to Set the Renewal Interval

  1. Go to Settings → Intake Form Templates.

  2. Select the template and click Edit.

  3. Scroll to When should we create this form?

  4. Under Create this form the first time a client books one of the selected services, pick the services that should trigger this form.

  5. The Create this form again after toggle is always visible. If no first-booking service is selected, it stays disabled and shows Pick a service first.

  6. Turn the toggle on, then enter how many days must pass before the form can be created again. This must be a whole number of at least 1.

  7. When it is on, the editor reads: Create this form again after [days] days when the client books a selected service. Helper text: it does not send on its own.

  8. Click Save.

This setting applies only to services under the any-client first-booking rule. It does not apply to the new-client-only or every-booking rules. Turning the switch off removes the interval when you save. Removing the last selected first-booking service turns the switch off and clears the value.
