Clients sometimes open an older intake form email. For example, staff deleted a form and made it again, or the client got a newer email. This article tells what the client sees in each case and what staff can do.
The client has open forms
An older link keeps working for 30 days after its form expired or was deleted, when the client has forms to fill.
The client opens the link from any of their intake form emails.
The client enters their last name (or an email code), as usual.
The client's current open forms open. These are the same forms that staff see as Pending.
The client submitted all forms
If the client already submitted the new forms, the old link shows All forms submitted.
The forms are not available
If the client has no forms to fill, the page says: These forms are not available right now. They may have expired or been replaced.
This happens when:
The forms expired.
The appointment was cancelled, so its forms were removed.
Staff deleted the forms and did not make new ones.
The link's form expired or was deleted more than 30 days ago.
The client should contact your clinic. The page does not say that the forms were submitted.
How staff send the forms again
Open the client's profile and go to the Forms tab.
If a form shows Expired, click Renew on that form.
Click Send Reminder Email.
Tip: Do not delete a form and make it again to resend it. Renew and Send Reminder Email keep the client's saved answers. Old links still open the client's current forms, but the client must start a new form again if you delete it.
