Unbilled Notes Report

Find signed SOAP notes that have no billing (CPT) codes, by date of service and provider, so you can code them before superbills go out.

The Unbilled Notes report lists signed Text Notes and SOAP Forms that have no billing (CPT) codes. Use it to catch notes that need codes before you print or upload superbills.

Before You Start

The report only includes properties that have Track billing codes on notes turned on. This setting is off by default for every property. See Track Billing Codes on Notes to turn it on.

To see the report, your role needs:

  • Access to Reports

  • Insurance Codes: view permission

  • Permission to view SOAP notes

If no property tracks billing codes, the report does not appear in the sidebar.

Opening the Report

In the left sidebar, go to Reports → Unbilled Notes.

Filters

  • Date of service: Last 7 days, Last 30 days (the default), Last 90 days, or Custom range. A custom range can be up to 1 year.

  • Provider: show one provider, or leave it on All providers.

Notes with no date of service are filtered by the date they were created.

Summary

At the top of the report you'll see:

  • Signed notes: signed notes in the period

  • Unbilled notes: signed notes with no billing codes

  • Billed rate: the share of signed notes that have billing codes

When you pick one provider, the summary shows only that provider's notes.

By Provider

This table lists each provider with signed notes in the period, with their Signed notes, Unbilled notes, and Billed rate. Providers with the most unbilled notes are listed first.

Select Show notes on a provider's row to see only that provider's unbilled notes.

Notes Without Billing Codes

This list shows each unbilled note, newest date of service first, with:

  • Date of service

  • Client

  • Provider

  • Service

  • Note (Text note, or the SOAP Form template name)

Select Open note to open the note in a new tab, then add codes in the Insurance Codes section. You can add codes after a note is signed. See Insurance Codes (Billing & Diagnosis).

The list shows 50 notes per page. If every signed note in the period has codes, you'll see No unbilled notes.
