Unlinked Notes allow you to document for a client when there is no associated appointment or class. They are also where notes will appear if the original appointment or class was deleted or modified after the note was created.
When Notes Become Unlinked
Notes may appear in the Unlinked Notes section when:
You intentionally create a note without an appointment
The appointment or class the note was created for is deleted
The appointment/class is modified in a way that breaks the link
Create an Unlinked Note
Open the client’s file.
Click New Unlinked Note.
A new Text Note will open.
Add any Templates you want to include.
Sign & Complete the note when finished.
Copy a Previous Note and Link It to a Visit
If you are copying a previous note from the client’s History, you can link the new note to an existing appointment or class visit during creation.
Open the Client Profile.
Click History.
Find the note you want to copy.
Click Copy Note.
In the window that opens, select the appointment or class visit you want to link the new note to.
Continue to the new note and make any necessary changes.
Selecting the visit during this process ensures the copied note is linked to the correct appointment or class instead of being created as an Unlinked Note.
View and Manage Unlinked Notes
Once completed, the note appears in the client’s Unlinked Notes page.
From here you can:
Link to an appointment
Link to a class
Leave it unlinked if the note does not need an association
Date of Service on Unlinked Notes
New unlinked Text Note: Starts with the date the note was created in the property's timezone.
Copied note with no visit selected: Is created as an unlinked note with its own saved Date of Service. It does not automatically match a nearby appointment.
Note explicitly unlinked from a visit: Resets to the date the note was originally created. Review it before signing.
Note made unlinked by a deleted or canceled appointment: May retain the former appointment date instead of changing to its creation date.
Note linked to an appointment or class: Changes to the selected visit's date.
You can edit the date directly only when the note is an unlinked Draft that you wrote and your role has permission to create notes. Click Edit beside Date of Service.
Rescheduling a visit does not necessarily unlink its note or update the saved date everywhere. If the list, opened note, filter, printout, or billing view shows a different date, preserve the note and contact QuickerNotes Support.
