The Kiosk allows clients to open and complete their pending intake forms using a short access code. Practices typically place a tablet, computer, or printed QR code in the lobby for quick check-in.


Kiosk Overview

The Kiosk is a dedicated page in your QuickerNotes account where clients enter a kiosk code to access any pending intake forms. You can:

  • Open the Kiosk page on an office computer or iPad

  • Print and display a QR code so clients can open the Kiosk on their own phone

  • Use automatic or manually generated codes

Permissions

To use or manage intake forms and kiosk codes, staff need the appropriate Intake Form permissions under:
Settings → Roles & Permissions → Forms


Kiosk QR Code

You can print the QR code that links directly to your Kiosk portal.

  1. Go to Settings → Intake Form Templates.

  2. Locate the Kiosk QR Code section.

  3. Click Print to generate a printable version.

  4. Display the QR code in your reception area.

When clients scan the QR code with their phone, they are taken directly to your Kiosk, where they can enter their kiosk code.


Automatic Kiosk Codes

QuickerNotes automatically generates a kiosk code for any intake form created automatically for an appointment.

Automatic codes are generated 20 minutes before the appointment start time so staff can provide the code as the client arrives.

When an automatic kiosk code is generated:

  • It is added as a note on the appointment inside Mindbody

  • It is displayed on the appointment inside QuickerNotes

  • Clients can enter the code on your Kiosk page to open all pending forms

Automatic codes make front-desk check-in fast and consistent for every visit.



Manually Generate a Kiosk Code

You can manually generate kiosk codes for any pending form.

  1. Open the client's profile.

  2. Go to the Forms tab.

  3. Click New Kiosk Code next to any pending intake form.

Important Behavior

  • A kiosk code pulls up all pending forms for that client —
    even forms that don’t have a kiosk code yet

  • Manually generated kiosk codes expire after 30 minutes for security

This makes it easy to generate a single code and let the client complete everything at once.


How Clients Use the Kiosk

Clients can access the Kiosk in three ways:

  1. Enter a kiosk code manually on your device

  2. Scan the QR code and enter their code on their phone

  3. Use a device in your office that’s already opened to the Kiosk page

Once the client enters a valid code:

  • All pending forms appear automatically

  • The client completes the forms

  • Submissions appear immediately in the client’s profile

  • Providers receive review requests according to your settings


Expiration & Security

  • All kiosk codes expire after 30 minutes

  • Expired codes cannot be reused

  • A new kiosk code can be generated instantly if needed

  • Codes provide access only to pending intake forms — not the client profile
